WebtrackAI is a work-management platform used by organizations to coordinate work orders, people, equipment, documents, and job progress. This policy explains the information handled when you use the WebtrackAI web service or mobile app.

Your organization and WebtrackAI

Your employer or the organization that gives you access normally decides which WebtrackAI features it uses, who can access its records, and how long its operational records are needed. WebtrackAI handles those records to provide the service. For account, support, security, and legal administration, WebtrackAI may also make decisions about how information is handled.

Information we handle

  • Account information: name, work contact details, organization, role, permissions, and authentication records.
  • Operational information: work orders, jobs, schedules, times, notes, form entries, signatures, documents, photos, and other records you or your organization provide.
  • Device and service information: device or installation identifiers, network information, timestamps, and logs used to operate, secure, and troubleshoot the service.
  • Location information: the driver-location data described below when your role and work require it and you grant device permission.

Driver location

For drivers, WebtrackAI can collect precise location together with timestamps, accuracy, speed, heading, motion state, and the device, installation, or upload-session identifiers needed to receive the record. Where available, a fix is linked to the driver's work identity and the relevant truck or run.

We collect this information only while you are clocked on and after you grant the requested location permission. During that on-clock period, collection can continue in the background or when the app is closed so authorized dispatch staff can see the truck's operational trail. Collection stops when you clock off. We do not collect driver location during off-clock personal time.

Location supports dispatch visibility, route progress, arrival/departure evidence, parking records, and investigation of operational gaps. Permission changes, device shutdown, operating system restrictions, or loss of connectivity can create honest gaps; WebtrackAI does not invent missing positions.

Precise location records are retained while the customer organization needs them for active operations and legitimate audit, security, dispute, or legal obligations. There is no automatic fixed-day deletion schedule for operational location records at this time. When those purposes end, WebtrackAI and the customer organization delete or de-identify the records, subject to records that must be retained by law.

How information is used

We use information to provide and secure the service, show each authorized user the work relevant to their role, synchronize and recover records, support customers, diagnose faults, meet legal obligations, and improve reliability. We do not sell personal information or use it for third-party advertising or cross-context behavioral advertising.

Who receives information

Information is available to authorized users of your organization according to their roles. We also use contracted hosting, authentication, communications, mapping, and support providers to operate WebtrackAI. Those providers receive only the information needed for their services. We may disclose information when required by law, to protect people or the service, or in connection with a business reorganization subject to appropriate safeguards.

Security and international processing

We use access controls, transport encryption, scoped permissions, and operational safeguards designed to protect information. No system is completely secure. Service providers may process information outside your state or country under contractual and legal safeguards appropriate to the transfer.

Your privacy choices

You can change location permission in device settings and clock off to end work-period collection. Changing permission may prevent driver tracking features from working, but it does not prevent you from asking about your information.

To request access, correction, or deletion of personal information or an account, contact your organization's administrator and email support@webtrackai.com. We verify the request and work with the customer organization where it controls the operational record. We may retain limited information when required for security, dispute, or legal obligations and will explain any applicable limitation.

Changes and contact

We may update this policy as the product, providers, or legal requirements change. The date above identifies the current version. Questions and privacy requests can be sent to support@webtrackai.com.
